The VSD Admin Staff provides administrative and operational support to the Vehicle Sales Department (VSD) to ensure the efficient processing of sales documentation, accurate record-keeping, and smooth coordination between internal teams and external stakeholders. The role requires strong organizational skills, attention to detail, and the ability to manage multiple administrative tasks while maintaining confidentiality.
Key Responsibilities:
- Administrative & Documentation Support
- Prepare, organize, and maintain vehicle sales records, reports, and administrative documents.
- Ensure completeness and accuracy of sales-related paperwork and internal forms.
- Manage filing systems and maintain updated databases for easy tracking and retrieval.
- Coordination & Communication
- Coordinate with Sales Consultants, Finance, Insurance, and other departments regarding documentation and processing requirements.
- Communicate effectively with clients and internal staff regarding administrative concerns.
- Assist in scheduling meetings, preparing correspondence, and handling department communications.
- Operational Support
- Monitor and track sales transactions, document submissions, and processing status.
- Assist in preparing departmental reports and monitoring performance-related data.
- Support daily administrative tasks to ensure smooth VSD operations.
- Data Management & Reporting
- Encode, update, and verify data using Microsoft Office and administrative software.
- Ensure accurate reporting and proper handling of confidential sales information.
- Maintain organized digital and physical records aligned with company standards.
- Compliance & Confidentiality
- Handle confidential information with discretion and professionalism.
- Follow company policies and procedures in administrative processes and data management.
QUALIFICATIONS:
- Graduate of any 4-year Business Course
- Strong organizational and multitasking abilities
- Excellent communication and interpersonal skills
