Job Summary:
The Purchasing Staff is responsible for supporting the procurement operations of the dealership by sourcing, purchasing, and monitoring supplies, materials, and services required for daily business operations. The role ensures the timely acquisition of quality goods at competitive prices while maintaining accurate records and coordinating closely with suppliers and internal departments to support efficient dealership operations.
Key Responsibilities:
- Procurement and Purchasing Operations
- Process purchase requests and prepare purchase orders in accordance with company policies and procedures.
- Source and evaluate suppliers to ensure quality, cost-efficiency, and timely delivery of goods and services.
- Coordinate with departments to understand purchasing requirements and ensure accurate order specifications.
- Supplier Coordination and Negotiation
- Communicate and negotiate with suppliers regarding pricing, delivery schedules, and product specifications.
- Maintain professional relationships with accredited vendors and identify potential new suppliers.
- Monitor supplier performance to ensure compliance with agreed terms and standards.
- Inventory and Delivery Monitoring
- Track purchase orders and ensure the timely delivery of ordered items.
- Coordinate with the warehouse or concerned departments for proper receipt and verification of purchased items.
- Assist in monitoring stock levels to prevent shortages or overstocking.
- Documentation and System Management
- Maintain accurate procurement records, reports, and documentation.
- Update purchasing data using Microsoft Office applications and the SAP system when applicable.
- Ensure proper filing and documentation for audit and reference purposes.
- Compliance and Administrative Support
- Ensure procurement activities comply with dealership policies and financial controls.
- Support cost control initiatives by comparing quotations and recommending cost-effective options.
- Perform other administrative and purchasing-related tasks as assigned.
QUALIFICATIONS:
- Must be a graduate of any 4-year business-related course
- Proficient with Microsoft Office
- With good communication & negotiation skills
- Hard-working and can work with less supervision
- Knowledgeable with SAP is an advantage
