Job Summary:
The Parts Admin is responsible for managing and maintaining accurate records of parts inventory, ensuring the timely availability of automotive parts, and supporting the overall efficiency of the Parts Department. This role involves coordinating with suppliers, monitoring stock levels, and ensuring that all parts operations comply with Toyota’s standards for quality, accuracy, and customer satisfaction.
Key Responsibilities:
- Inventory Management:
- Maintain accurate and up-to-date records of all parts transactions and stock levels.
- Monitor inventory movement and prepare reports for management review.
- Conduct regular physical inventory checks to ensure data accuracy and prevent stock discrepancies.
- Procurement and Coordination:
- Coordinate with suppliers and logistics partners to ensure the timely delivery of parts.
- Process parts requisitions and ensure proper documentation and approvals.
- Communicate with the Service Department to ensure the availability of required parts for maintenance and repairs.
- Data Management and Reporting:
- Utilize ERP or inventory systems to record and track parts information.
- Prepare regular reports related to parts usage, inventory turnover, and cost efficiency.
- Ensure compliance with Toyota’s parts management procedures and policies.
- Administrative Support:
- Assist in processing warranty claims and returns.
- Maintain proper filing and documentation for all parts-related transactions.
- Support the Parts Supervisor and team in daily operations to achieve departmental goals.
QUALIFICATIONS:
- Bachelor’s degree in Information Technology, Industrial Engineering, or a related course
- Experience in parts inventory, logistics, or dealership operations is an advantage
- Strong analytical, organizational, and problem-solving skills
- Proficient in MS Office applications and familiar with inventory or ERP systems
- Detail-oriented, trustworthy, and able to work under pressure
